Comfort Advisor

Job Title: Comfort Advisor

Job Summary: The Comfort Advisor is a professional representative of General Air Conditioning & Plumbing. Your role is to deliver the most efficient, highest quality experience in residential HVAC sales. You will meet with clients in their homes to discuss their heating and cooling needs and present solutions to make their personal space more comfortable. Additionally, you will develop marketing strategies to reach new customers and maintain relationships with current customers to determine other needs. Duties and Responsibilities:

The essential functions include, but are not limited to the following:

  • Meeting the client’s needs and wants while meeting the minimum budgeted sales as outlined below
  • Leads are valuable assets of the company and should be treated as such:
    • Maintain a closing ratio on technician-generated leads of 75% or higher
    • Maintain a closing ratio on marketed leads of 50% or higher
    • Maintain a closing ration on Costco leads of 25% or higher
    • Maintain an average sale price of $6,450 or higher across all leads ran
  • Arrive at appointments 5 – 10 minutes ahead of time. First call no later than 9:00am.
  • If both decision makers are not present, perform a partial survey and reset the appointment time when all decision makers are available.
  • Complete the Comfort Survey and a Home Analysis on every call.
  • Provide homeowner with proposal in the home 95% of the time.
  • Prepare and present home energy improvement proposals to homeowner’s in-person at their home.
  • Selling HVAC products and meeting established company standards and sales expectations.
  • Understand and capably present financing options that are offered by approved financing companies.
  • Understanding the salesperson guidelines and practices as explained in the “Sales Contract”.
  • Actively follow-up on all sales leads and customer requests.
  • Provide excellent customer service (the WOW factor). Our salespeople own the job from the sales presentation through the installation of the equipment including any follow-up visits.
  • Complete all paperwork in a timely and accurate manner. The Comfort Advisor is responsible for financing paperwork as well as ensuring collection of cash payments.  Commission is not paid until the company is paid for the job or the client has signed a financing completion form.
  • Develop options for each client to match their needs, wants and budgets.
  • Demonstrate a thorough understanding of the products and services we provide.
  • Spend at least two hours each week reading or listening to self-improvement or sales-related books, video, or audio.
  • Utilize Rehash Leads on every call not closed.
  • Conduct daily activities with the highest level of honesty and integrity, and always display a positive attitude toward fellow team members.
  • Able to work individually and as part of a team to ensure superior customer satisfaction and positive working environment.
  • Debrief every call with SLC (immediately).
  • Company property (iPad/iPhone/vehicle) used for work purposes only.
  • Arrive on time for sales training meeting with sales manager, as scheduled.
  • Start every day at the office.
  • You are expected to be in the office when not running leads, following up, calling past customers.
  • The commission sheet is approved by the Sales Manager before commission is paid.

Qualifications:

HVAC Maintenance Tech

Job Title: HVAC Maintenance Technician

The Maintenance Technician Level I, is an entry level HVAC technician in training that has graduated from an accredited HVAC trade school, has minimal OTJ training, or is a direct hire with no experience. Maintenance Technician level I will under the supervision of a senior technician or training manager perform seasonal maintenance on residential and light commercial HVAC equipment with the ability to educate homeowners on issues or improvements needed.
Duties and Responsibilities:

  • Carry out preventative maintenance tasks and inspections on HVAC equipment.
  • Measure, document and report system performance.
  • Provide recommendations and solutions while educating the customer.
  • Present maintenance plans to customers.
  • Operate a variety of hand and power tools to inspect, repair, and conduct maintenance on air conditioning systems, furnaces, coils, and compressors.
  • Demonstrate respect and compassion when communicating with clients on work performed and on recommendations for repairs or replacement.
  • Document service performed and recommendations made by completing applicable forms, reports, logs, and/or records in Service Titan.
  • Complete all tasks in accordance with General Air’s quality and safety standards.
  • Update job knowledge by participating in educational opportunities (internal and/or external).
  • Explain the benefits and value of Service Plus Agreement to clients and convert nonmembers to our Service Plus Agreement.

HVAC Service Tech

Job Title: HVAC Service Technician

The Service Technician Level has a minimum of 3 years of experience in the HVAC trade and can perform seasonal maintenance on residential and light commercial HVAC equipment with the ability to educate homeowners on issues or improvements needed. Additionally, Service Technician can run demand service calls on residential and light commercial and is assigned to the on-call schedule.
Duties and Responsibilities:

  • Performs preventive maintenance on equipment to prevent equipment failure by cleaning air handling systems and reheat coils.
  • Monitor and calibrate air handling systems and replace filters, motors, fans, belts, etc. on systems.
  • Repair, replace and adjust vents and duct work.
  • May clean air ducts to maximize efficiency and improve indoor air quality.
  • Assist in locating and diagnosing problems, assessing extent of repairs and describing options and associated costs to the customer.
  • Provide a description of diagnosed problems to customer in terms that can be understood with options, as possible.
  • Assists with repairs of complete systems to include repairing, calibrating or replacing controls, switches, thermostats, transformers, gauges, wiring fans, pumps, compressors, condensers, piping and other functional components of the system.
  • Completes all required documentation on services, explains guarantees/warranties and collects, records fees in Service Titan.
  • Installs, repairs, replaces or cleans refrigerant lines, fans, appliance vents, smoke detectors, humidifiers and grills, as appropriate.
  • Ensures that all HVAC repairs and installations are accurate, serviceable and that materials used and workmanship meet the requirements of applicable technical/safety standards and regulatory codes.
    • Makes any modification needed to ensure proper installation and air balance.

HVAC Installer Apprentice

Job Title: HVAC Installer Apprentice
The HVAC Installer Apprentice will assist in the installation of heating, ventilation, and air conditioning systems in multi and single-family residential homes and light commercial work. Installations will be up to code and General Air’s rigid quality standards. Reports to the office on time and ready to work. Work is performed under direct supervision.
Job Summary:
Duties and Responsibilities:
  • Install heating, ventilation, and cooling units for residential customers.
  • Travel with the crew to job sites in service area and work with the team to ensure schedule is maintained.
  • Participate in company-provided training opportunities on latest industry technologies.
  • Knowledge of the fundamental operational functionality of residential heating, air conditioning, and ventilation equipment.
  • Solid communication and customer service skills. Ability to communicate effectively and courteously with team members and customers alike.
  • Ability to take work direction from the crew leader in a courteous manner.
  • Maintain a professional image, wearing only company approved and provided apparel. Associate must have black shoes and black belt and must be willing to wear a name badge.

Job Title: HVAC Installer Associate
The HVAC Installer Associate position replaces, modifies, and/or installs air conditioners and heaters, to meet or exceed the manufacturer’s recommendations, General Air’s standards and local codes. Our HVAC Installer Associate must be able to troubleshoot, adapt, and resolve/repair all issues that arise during an installation that would keep the equipment from functioning properly. They must be able to communicate with the client regarding the proper operation and owner’s maintenance of the installed equipment and answer related questions as to operation, features, and functions.

HVAC Lead Installer

Job Title: HVAC Lead Installer
Responsible for leading a team of Installers to complete the installation of residential HVAC equipment according to the standards set forth by General Air Conditioning and Plumbing. As a lead member, you will guide a team to install heating, air conditioning, ventilation and as well as accessories. Oversees the work of Installer Associates and Install Apprentices to ensure work is performed correctly. Communicates with customer to answer questions, resolve problems, and ensure complete customer satisfaction.
Job Summary

Duties and Responsibilities:
  • Leads a team to install HVAC equipment and accessories in the customer’s home.
  • Installs heating, air conditioning, ventilation, as well as accessories, in accordance with company requirements and manufacture specifications. As needed, performs limited diagnostics.
  • Designs, fabricates, and installs various ducts and duct fittings and sheet metal as required.
  • Performs start-ups on air conditioning and heating systems and other components.
  • Responsible for delivery of excellent customer service and sustaining high levels of customer satisfaction.
  • Effectively communicates with customer regarding questions, concerns, and problems.
  • Promotes General’s products and services to the customer.
  • Responsible for delivery and removal of equipment needed to complete the installation work.
  • Ensures company property, vehicles, and tools are properly maintained, and accounted for.
  • Follows standard procedures and process, ensures that the company vehicle is properly stocked, returns defective warranty parts to branch, and orders/replenishes vehicle stock as needed.
  • Responsible for keeping installation vehicle clean both inside and outside in keeping with the company’s professional image.

Client Care Representative

Job Title: Client Care Representative
The Client Care Representative (CCR) is responsible for handling inbound and out bound calls from new and existing clients, and to book appointments for maintenance and service, while ensuring our clients receive the highest level of service and follow-up. The CCR’s utilize their knowledge of our products and services to address client issues, provide support and ensure we exceed client expectations.
Duties and Responsibilities:
  • Answer inbound calls consistent with General Air scripts and procedures.
  • Set timely appointments with Technicians, Installers, Plumbers and Comfort Advisors.
  • Respond to client questions, complaints and issues, and document all calls with detailed job notes.
  • Perform cold and warm calls to existing and first-time clients.
  • Schedule comfort advisor leads and follow up appointments.
  • Schedule demand service calls, maintenance, tune-ups, and sales appointments.
  • Schedule plumbing and drain cleaning calls.
  • Qualify all in-bound market leads.
  • Assist dispatch with dispatching and debriefing field personnel.
  • Explain and build value in our service and diagnostic investment.
  • Enter and update client information directly into software and other CRM systems at time of client contact.
  • Follow up with client after-hour calls and internet requests for service.
  • Confirm all scheduled calls for the following day; contact customers with a “parts pending status”.
  • Complete refund request forms.
  • Provide our clients with over the top service; conduct ‘happy calls’ and participate in customer surveys.

Dispatcher

Job Title: Dispatcher
The dispatcher is responsible for properly matching the service technician best suited for each call. Continually analyzing the scheduled and demand calls against the technician best suited to maximize lead opportunities, revenue, membership conversion, and customer satisfaction.  The Dispatcher will ensure calls are prioritized based on profitability and customer service, following the dispatch guidelines of call classifications for General Air Conditioning and Plumbing.
Job Summary:
Duties and Responsibilities:
  • Dispatching service and install calls/jobs.
  • Closing calls at completion from service and install.
  • Entering data in the call progress in real time.
  • Taking “stock” parts request orders and dispatching part runner.
  • Taking “order” parts requests and submitting requisition to warehouse.
  • Ensure incoming part’s orders are scheduled with the original tech (in a timely manner).
  • Taking additional jobs, job changes, etc. from install, service and warehouse and making additions or changes to the dispatch board.
  • Recording truck stock used by technician when closing calls.
  • Make outbound calls to book tune ups, and recommendation when slow or not on mark for daily revenue goal.
  • During slow period assigns calls to top producer while letting the lesser producers go early.
  • Meet daily revenue and sold-hour goals by prioritizing the most urgent and profitable calls.
  • Ensure techs are taking lunches/breaks as appropriate as well as managing their total hours worked both daily/weekly.
  • Relay accurate information to technicians, ensuring proficient, quality customer experiences.
  • Solid understanding of how much time is needed on each individual job type and schedule accordingly.
  • Manage the whereabouts and needs of every technician in the field.
  • Cultivate strong relationships with field techs and clients to reduce the stress that comes with last minute schedule changes.
  • Record the results of each service call and create report summaries for senior management.
  • Be professional and establish customer rapport, encouraging repeat business.
  • Respond to customer requests, resolving issues and promoting the brand.
  • Participate in training to boost sales and ensure quick, accurate dispatch of incoming orders.
Qualifications:
  • HS diploma. Bachelor’s degree preferred.
  • Ability to exercise a high degree of good judgment and independence while evaluating situations and the ability to make split-second decisions.

Sales Lead Coordinator

Job Title: Sales Lead Coordinator
The Sales Lead Coordinator will help bring revenue to our company by generating and managing sales leads for the HVAC and plumbing departments and by executing sales lead strategies. You will create a lasting first impression and will follow up with potential customers and keep strong relationships with already existing customers. Your friendly and motivated attitude will help you to convert interest calls into leads 90% of the time. For existing clients, you will follow through with calls to ensure that they are happy with their products. The crucial responsibilities of this position include converting leads and ensuring that our clients are enthusiastic about how General Air Conditioning and Plumbing has treated them.

  • Coordinate all Comfort Advisor self-generated leads and technician sales lead turnovers.
  • Qualify inbound marketed leads and ensure client understand the time commitment and expectations of a proper sales presentation.
  • Manage the lead nurturing process and sales pipeline.
  • Maintain 3 calls per advisor, per day via outbound calls.
  • Provide sales statistics and summary reports to sales manager and GM and provide recommendations to improve sales department performance.
  • Process customer financing when needed.
  • Send and receive DocuSign sales contracts and other sales forms.
  • Perform follow up calls on non-sold leads to identify missed opportunities and ensure comfort advisors are meeting performance expectations.
  • Contact clients on sold jobs to congratulate them on their investment, review job details and confirm installation date and details.
  • Create jobs in Service Titan and ensure the team is aware of job sold and job details.
  • Support and assist the Managers and other internal entities as needed.
  • Follow up with the client on the day of install and ensure satisfaction.
  • Process sold paperwork, sales commissions and rebates.
  • Travel as required for training, conferences or other company related business.
Qualifications:
  • HS diploma
  • Strong computer skills (MS Office)
  • Good customer service skills- must be friendly. approachable, good communicator and professional
  • Excellent written communication skills. Proficiency in English.
  • High attention to detail and pride in producing accurate work
  • Well-organized with exceptional follow-through abilities and responsible with an aptitude in problem-solving
  • Ability to build trust and diffuse conflict
  • Team player but self-motivated
  • Displays a sense of ownership and urgency
  • Capable of applying sound business judgment to all decisions.
Working Conditions: Available to work Saturdays to service the needs of our clients.
Physical Requirements:
Must be able to:
  • Lift 20+ lbs.
  • Stand and sit for long periods of time
  • Work at a computer station for long periods of time
  • Must hear and speak well enough to conduct business over the telephone
